The announcement text: A brand new role for an Administration Manager has just come available with my client a leader in the audio visual industry! Reporting directly to the Managing Director your role will be split between being the Office Manager and PA duties for the Managing Director.

Your duties will be split as follows:

Office Manager duties:

• Organise and implement office standards and duties.
• Responsible for the Company documentation, procedures and literature
• Assemble document time sheets, leave and sickness records for the company.
• Responsible for the upkeep of records on the company computer system.
• Responsible for service management system Stars updates and schedules
• Supervise all back office duties and standards.
• Produce reports as and when required.
• Maintain and administer ISO Documentation
• Issue written and verbal instructions on behalf of the Management team.
• Provide secretarial support to the Management Team

PA to MD duties:

• Updating and running Managing Director`s diary
• Organising travel and accommodation.
• Organise meetings and events.
• Liaise with external clientele and staff in support of the Managing Director.
• Attend meetings on behalf of the Managing Director
• Co-ordinate all staff training and records ensuring all information is kept up to date

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and*or ability required.

• Educated to the standard of A Level * NVQ level 3 in business administration or the equivalent with excellent communication and I.T skills. The ability to make decisions within working scope is also required.
• Must have broad experience working at a senior management * Director level.
• Computer literate. Microsoft Office suite, Sage
• Comfortable in dealing with a fluid fast moving environment
• First class English - written and oral. Second language desirable (French, German)
• Must demonstrate an advanced level of communication and negotiating skills.
• First class administration, documentation, planning and communication skills
• Management experience, trust worthy, polite, good with other members of staff, good customer facing, good time management.
• High standard of personal presentation
